Terms, Conditions & Cancellation Policy

These Terms and Conditions (“Terms”) govern all bookings, use of services, and use of the Leeward House Thornbury website and booking platform, whether online, by email, telephone, or any other method. By booking, accessing, or using Leeward House Thornbury services or website, you confirm that you have read, understood, and agree to be bound by these Terms, including our Privacy Policy.

The content of our website, including payment facilitation and the reservation platform, is owned and operated by Leeward House Thornbury.

Bookings

  • All reservations at Leeward House Thornbury are subject to these Terms.
  • Pre-payment by credit card is required at the time of booking unless otherwise specified.
  • Reservations are not confirmed until required payment and information are received.
  • The person making the reservation must be at least 21 years of age and must be present for the entire stay.
  • Maximum occupancy is listed on your booking confirmation. Only registered guests are permitted in suites.

Rates & Charges

  • Prices are per night, per person unless otherwise stated.
  • Meals, services, and taxes (including HST) are included only if specified.
  • Minimum stay requirements, deposits, or cancellation charges may apply; all such terms will be made clear during booking.
  • The total cost — including all applicable charges — will be displayed at the time of booking, payable in Canadian dollars.
  • The HST breakdown is an estimate and may change depending on regulations at the time of invoice.

Hours of Operation

  • The lobby/front desk generally operates from 8:00 a.m. to 9:00 p.m. daily, but hours may vary by season, guest occupancy, or weather.
  • We may temporarily close certain guest facilities for safety or operational reasons without notice.
  • Certain amenities may have seasonal availability.

Check-In & Check-Out

  • Check-in is available from 3:00 p.m. on the day of arrival unless otherwise stated in your confirmation.
  • Guests may be required to provide photo ID, reservation confirmation, and a valid credit or debit card on arrival. This may also apply to any guest aged 16 or over.
  • Check-out is strictly required by 11:00 a.m. Late departures may result in an additional half-day charge or an agreed hourly fee, subject to availability.
  • All suite doors must remain closed except for entry and exit.
  • Failure to depart before 11 a.m., when no prior agreement is made, will result in additional charges.

Cancellation Policy

  • If you cancel your booking within 12 days of your scheduled arrival, no refund will be provided.
  • If you cancel more than 12 days prior to your scheduled arrival, you will receive a full refund.

If Leeward House Thornbury must cancel your reservation for any reason, you will receive a full refund, with no further liability or obligation from Leeward House Thornbury.

Payment

  • Accepted payment methods are American Express, MasterCard, and Visa.
  • For advance-purchase rates, the card used for booking may need to be presented at check-in, along with valid ID.
  • In certain cases, a deposit by cash or cheque may be accepted instead of card authorization.

Changes & Room Allocations

  • If you selected a specific room (e.g., “choose your own room”), we will do our utmost to honor your preference, but operational needs or safety may require a change. If reallocation results in a less expensive room, the difference will be refunded.

Damage & Missing Items

  • You authorize Leeward House Thornbury to charge your card for any damage to your suite, property, or missing items (including towels and linens) discovered after your stay.
  • The registered guest will be responsible for all costs of repair, cleaning, or replacement.

Parking

  • One designated parking spot is included with your reservation. The vehicle must be removed by check-out.
  • All vehicles and their contents are left at the owner’s risk. Leeward House Thornbury assumes no
    liability for loss of or damage to vehicles, bicycles, skis, or any other items.

Guest Conduct

  • Please respect the comfort and privacy of all guests. Excessive noise or disturbances — including noise above casual conversation — may result in removal from the property or being charged the full cost of the affected party’s room.
  • Disruptive, offensive, or unsafe behavior may result in removal without refund.
  • Drinking alcohol is only permitted inside your suite clearly marked licensed areas.

Smoking & Pets

  • Smoking or vaping (including e‑cigarettes and cannabis) is not permitted anywhere on the property. Violations will result in a $500 cleaning fee.
  • Well-behaved dogs may be permitted only if specified in your room type, for an additional nightly fee.
  • Service animals are welcome throughout guest areas with appropriate documentation; no deposit is required for service animals.

Children

  • All guests under the age of 18 must be accompanied and supervised by an adult at all times.

Non-Discrimination

Leeward House Thornbury maintains a strict non-discrimination policy based on sex, race, color, religion, ancestry, national origin, disability, medical condition, genetic information, marital status, or sexual orientation. Guests failing to adhere to this policy may be removed from the property without refund or liability.

Force Majeure

Leeward House Thornbury is not responsible for events beyond our control, including (but not limited to): severe weather, fire, nature, power outages, terrorism, pandemics, strike, government actions, or other acts of force majeure.

Limitation of Liability

  • Leeward House Thornbury is not responsible for lost or damaged property left on the premises.
  • We will not cover indirect, consequential, or lost profit damages.
  • Our maximum liability is limited to the total amount paid for your stay.
  • Nothing in these Terms excludes liability for death or personal injury due to our negligence or for fraud.

Governing Law

These Terms are governed by the laws of Ontario, Canada. Disputes are subject to the exclusive jurisdiction of Ontario’s courts.
